Privacy and confidentiality
How we look after your information, in plain language.
Who we are
This service is run by Youth Foundation, a registered charity in England and Wales, number 1202802. We are responsible for your information (this is called being the “data controller”).
What we collect and why
We ask for as little as possible. At the start we only need what helps us understand what you need, keep you safe and contact you safely.
- Your preferred name, age group and area — to know whether and how we can help.
- What you tell us about your situation — to offer the right support.
- Your safe contact preferences — so we only contact you in safe ways and at safe times.
- Language and accessibility needs — so we can communicate with you well.
We do not ask for your address or ID documents to start a request. If we need something later, we will explain why.
Who can see it
Each member of staff sees only what they need for their role. Information about your personal situation is kept separately from activity and programme records.
Your support worker and intake team
See your request and support plan in order to help you.
Safeguarding team
See safety concerns only.
Activity staff and volunteers
See your name and activity bookings only — not your situation.
Funders
See overall numbers only, with no names or details that could identify you.
Every look at sensitive records is logged, and we review access regularly.
How long we keep it
Proposed periods — to be confirmed| Type of information | How long |
|---|---|
| Requests we could not take forward | 12 months after the decision |
| Support records | 6 years after the case closes |
| Safeguarding records | In line with our safeguarding policy, which may be longer |
| Activity participation | 2 years after your last activity |
| Messages | With your support record |
Your rights
You can ask for a copy of your information, ask us to correct it, ask us to delete or limit its use in some cases, and object to some uses. You can withdraw any optional consent at any time without it affecting your support.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office (ICO).
No advertising trackers
We do not use advertising or marketing trackers on these pages. We only use what is needed for the site to work and stay secure.
